Set employee availability so you can visually reference when they are able to work while building schedules.
When in the Schedule section, under Team Schedule, you will see the employees that have a shift on the schedule you are viewing. To open the employee availability window, select the vertical menu icon to the right side of the employee name, then click Edit Availability.
- Max Hours Each Week: You can set the maximum amount of hours an employee can work each week so that it’s easy to see if their shifts go over that amount when creating schedules.
- Availability: Then you can select the days and input the hours they are available. Toggle 'All Day' if the employee is available all day. Click Save when all done.
Note: If an employee is unavailable on a certain day, this will be reflected in the calendar. However, you are allowed to schedule a shift that day in case there are instances they may be available that week.
After this is done, you will then be able to see the Max Hours the employee can work each week listed under their name. This can be helpful when building a schedule to make sure the selected employee is not scheduled over their weekly hourly limit. The amount of hours the employee is currently scheduled will be the number on the left and the set Max Hours they can work will be the number on the right.
You can also adjust employee availability directly from each employees directory profile from the Payroll Details section of the Time and Pay tab. Simply click on Update Availability here to open the Availability editing window for the selected employee.
