Account owners and admins can add employees into the directory whenever needed. To add an employee, follow these simple steps...
1. Select Add a new employee from the dashboard's Quick Links section, or go to the Directory tab from the navigation menu and select the Add employee button.
2. Fill out the required employee information as noted with asterisks (*) and any other information you wish to include.
Note: An email address is required in order to invite the employee into the system.
3. If an email address is documented, you can opt to automatically send a self-service invitation to the employee after activating their profile.
4. When finished, choose whether you want to immediately activate the employee's profile or activate it at a later time.
Note: The invite email can only be sent from here if you select to activate employee now.
Importing Employees In Bulk
Bulk importing employees into the directory is a convenient way to input all employee data on a single spreadsheet rather than manually adding employees one by one. To add employees in bulk, follow these steps:
1. Select the Directory tab.
2. Click on the three dot ellipsis button directly to the left of the Add employee button.
3. Then select Import Employees.
4. On the next screen, download the employee import template. This document contains the columns in the correct order for a successful import. Select Download Template to save the template to your device.
5. Open the downloaded file. You can manually fill out the spreadsheet, or copy and paste data from other spreadsheets/exports you may have from other systems.
•Please note that the columns must remain in the same order as in the original template.
•Data must be entered in a valid format to successfully import.
•If any information is invalid, the system will show error messages after the upload so you can correct them.
6. Once the template is complete, save the file and return to Personelle. If your session timed out, return to the Directory and select Import Employees again.
7. Select Upload Template, then select the completed file. You may also drag and drop the file into the upload window.
8. After the file loads, the system will notify you if any errors were detected. You can choose to remove or correct errors before continuing.
•If no errors are detected, the system will confirm that the data is ready to import. Select Import Employees to begin the upload.
9. You will be taken back to the employee directory page, where employees will begin loading into the directory.
•Upload time may vary depending on the number of employees being added.
•A loading indicator will appear at the top of the page.
•You may continue using the platform while the upload completes.
Note: After employees are added into the directory, you must send them an invite to register for self service if you want to grant them access to the Personelle system.
